Hi all, hope you can clear this up as I'm really starting to struggle with this...

I'd planned to have a copy of all messages sent inside the company to be copied into a public folder (secured naturally!) for company policy. The destination server was Exchange 2000 Std, so I figured that once the Public Folder DB hit about 15GB or so I'd drop the DB and just create a new one each time... Eventually, I'd get a bunch of Databases I could mount whenever I needed to.

Well It hit 12GB (200,000+ messages) last week so I thought I'd do this (the location of the Public folder DB is on a 1/2TB file system) but I have to confess that I have no idea how do do this!

So, can anyone help me out? I hope I've supplied enough detail...

Basically, I just wanted to get a bunch of 16GB databases made of public folders that I could mount onto the server whenever I needed (or was requested) to find 'an old email someone sent 4 years ago' type thing...

Can I do this? Can you tell me how? If it is in fact impossible, how should I go about it to get a searchable history of all messages when I only have a Std server but a huge disk array to place files onto? The company would resist me spending more money on software to do this (unless it is truly impossible to do).

Ugh! That's an almost criminal abuse of public folders.

You could use a variation on this theme: http://forums.msexchange.org/m_1800384387/mpage_1/key_/tm.htm#1800384391

Specifically, create a new store with one user in it, which will be your archive user. Then set your main store(s) to all archive copies of email to that user's mailbox. This way your archive data is kept separate from other data (assuming you're using your public folders for other things too, which you may or may not be) and provides one central store than can be managed. Also, I think it might be a bit easier to mess with user stores and public stores, so that's a plus, too.

Futhermore, you can do something like export this account's contents to a PST every week or so, so you have nice chronological chunks of email that can be easily mounted and browsed if need be, and will probably fit nicely on burned DVD's for archiving. (Storing your archived pub stores on tape will be a serious pain to go through if you need to find some ancient piece of historical mail.)

Thanks for the quick reply jroch.

The trouble with that method is this is Exchange 2000 STD, so I can't make a new store.

I've got servers, but all Standard Editions. The PST idea wouldn't work either, there would just be too many PST files, making searches for particular mail inpracticle.

So, is this still impossible, or can someone else suggest something?

You must create a new public folder tree first. Right click on the Folders container for you administrative group and then go to new > Public Folder Tree. Once you have the tree created you can now create a new public folder store and associate it with that tree, even in Exchange 2000 Standard.

Remember, any additional public folder stores will not be accessible via MAPI clients, (Outlook)!

mmarnell, thanks for the reply. I've followed you instructions, and now have a second folder tree, and a new, empty folder inside it.

How can I get messages into it though?

I can't drag the existing folder from the old (full) folder tree. I can't 'see' the new folder in the active directory (so I can't point to it as my archive folder in the mailbox store and I can't see it in outlook, so I can't use mapi to copy from one public folder to the other.

How do I put data into this store?!?!?! Gah! Help!
