Hi all,

I'm quite new to Exchange so please bare with me.  I have just taken over running Exchange from my boss and the 1st problem I have encountered is recovering emails from the archive account on exchange.

This is the account that a copy of all emails that pass through server are sent to.

I've been trying to recover some emails that have been lost from a users account by opening the archive account within outlook to extract the emails.

Unfortunately due to the size of the account ( it goes back to 2006 and contains over 250,000 items!) I get the error

"Task 'Microsoft Exchange Server' reported error (0x8004060C) : 'The message store has reached its maximum size.  To reduce the amount of data in this message store, select some items that you no longer need, permanently (shift + del) delete them.'

I assume this is because the outlook pst cannot handle the amount of messages so I guess what I need to do is split the account somehow.

Could anyone give me any ideas on how to do this.  It's very important however that I don't lose any of the emails.

What I would do is to run a "Recipient Policy" to remove everything from that mailbox apart from the last few days, to to where you need. Clearly you haven't touched it for such a long time and it's pretty much unecessary.

I'm afraid I can't do that.  My boss wants to keep the account as a backup to the normal email accounts.

I think Ideally he wants me to start a new archive account where a copy of the emails onwards from today go into and then split the old archive account by the year so they can be backed up individually and the emails from the year can be easily accessed.

I assume he means exporting the emails to pst and then splitting them but that wont be possible if the pst can't hold all the emails currently in the archive account.

Use ExMerge to pull out the messages using the "Archive" import procedure and Date ranges.  How big is the mailbox (in GB)?  ExMerge creates a PST file with a 2GB size limit.

You really need to look at some archiving software that will take that content and process it for you. GFI Mail Archiver is the first product that springs to mind. It is SQL backed and will easily cope with those objects. GFI removes the items from the mailbox, so you will also reduce the size of your store. As it is SQL backed it will find the items far quicker than a search in Outlook/OWA or whatever.

If you value the data you will not want to store them in a PST file. Not only are they a pain to manage, they break easily. Using PSTs as a temporary export only solution (ie the content is left behind) which is what I think is being mentioned above, would be fine.

The account is 35GB in size.

If I use exmerge, will it affect the 'archive' account at all or does it just make a copy of the emails?

By default, ExMerge makes a copy, but you can set the options to "Archive" meaning it will remove the messages from the mailbox.

Making a PST file is always a good idea, you can save all emails that way, regardless of mailbox size.

Hi,
I think you can try with Exmerge and make slots of PST's of 2gb and then with search in exmerge you can filter out the mails from/to paricular user...I think this will work...

yes ..i feel exmerge is the best option to do this.....

But you need be carefull ...as uemurad said in one of his post.

Using ExMerge, you have to set the Import Procedure to Archive data to target store.  This removes the messages from the mailbox as it goes.
You have to watch two files.  The PST file size and the size of the ExMerge.Log file.  When the PST file gets close to 2GB, start watching the log file.  It's size will grow quickly when it puts a log entry for every message that won't fit in the PST file.  When that happens, kill the ExMerge program.  Rename the PST file.  Start the process again.
