What's the "best practice"/formula for configuring mailbox quotas?

We currently have a lot of space on our server, but I'm quite sure that this space will be used up rather quickly if we don't setup quotas.

I know every organization is different, but ius there a "best practice"/formula for configuring these quotas?

Hello Mr. Ebony,

Quota limit settings are very individual from organisation to organisation.

I have worked for several companies who had qoutas ranging from 20 MB to 500 MB.

So let me ask you a couple of questions:

How many users do you have and how much diskspace are available on the server(s) ?

What type of users are we dealing with ? Is it for example PR people, if yes then they tend to use a lot of mailbox space as they often sends/receives a lot of attachments (such as .ppt files etc.).

You should also think about public folder storage use...

Hello Henrik,

You have helped me out sooo much. I truly appreciate it.

Quotas:

We have approx. 650 mailboxes.
All mailboxes reside in 1 storage group.
Since I work for a city, a lot of our users are high profile users that need "mailbox room to grow."

Our 1 strorage group is on a seperate partition.
18 GB used
117 GB free

Is there a best practice/formula for figuring out quotas?

How do you configure these quotas once you have them determined?

Hello again Ebony,

You're welcome.... [Big Grin]

I would say you have plenty of space for your users. But of course more people could get employeed, but it could, in these days, as well go the opposite way [Eek!]

You could split the users up in f.ex 3 mailbox stores, and then set a different quota on each -could be one for bosses (1 GB limit), one for ordinary users (200 MB limit) and one for mobile users (100 MB limit).

It's quite simple to setup the quotas in the System Manager, you just need to choose properties for each Mailbox Store -> Click Limits and type in the appropriate limit in the fields.
