Hey guys I have a 40 person firm running Exchange 07 and there mail boxes are unilimited it was fine for a bit but now some boxes are getting huge 18-32 gig of mail! We are running three private stores and the are running about 230 gigs in size in total. We are going to upgrade there servers and I can do just about what ever I want. I was going to go to a virtual enviroment but I am looking for the best way to adderss this issue. Should I go to version 10 shoudl I run more stores should I put in quotas? (they wont like this one at all) Can I run a HUGE set of stores safley? Please any suggestions are welcome even third party ones and I need to back this all up!!

Thanks

Archiving can be a recommendation but is not necessarily a better option.  Native Exchange 2010 archiving does not address space.  Rather, it moves older emails to another mailbox database to maintain performance on the main mailbox database.  3rd party archiving can increase space.  However, if 3rd part compression is not that good then you are still robbing Peter to pay Paul.

A way to slow down mailbox growth is to introduce some sort of retention polices in the form or managed folder mailbox policies.  Here are some recommended baby steps.  Purge all calendar items after two years, delete sent and deleted items after XX days.  We do 30 days on sent and deleted.  As part of the MFMP you could also purge system notifications such as read and delivery receipts, non deliverables, etc.

With a good approach you should be able to convince leadership to approve either quotas or full mailbox item age limits.  Space is not free if service recovery will be longer based the size of the databases.  Performance is also impacted even if you have plenty of space.
