I am assisting a company with 96 users in 5 locations and the admin has recently inherited the additional administration of the following email system, setup by a prior Network administrator:

STATE USERS LAPTOPS DESKTOPS
NY 62 07 55
FL 15 02 13
AL 03 01 02
VA 15 04 11
GA 01 01 00
________________________________
TOTAL 96 15 71

Connecting the locations to New York are the following:
A T1 LINE from Miami, FL
A T1 LINE from Selma, AL
A T1 LINE from Norfolk, VA
A DSL line from Atlanta, GA

Hardware & Software Configuration:
Windows server 2000, Exchange server 2000, Outlook 2003 Client ,Office 2003 running Windows XP Professional OS and Windows 2000 OS on the clients. They are planning to migrate to Windows server 2003, Exchange server 2003 over the next 3 to 4 months

Email ID's are defined on the Exchange server using the following syntax: name@company.com

The single Exchange Server is based in NYC.

Currently all inbound email to the users is received on the exchange server and forwarded to POP3 ISP provided email. Additionally there are different ISPÆs for the users. Examples are ATT.NET, Yahoo, Hotmail to name a few. This scenario causes users to do an awful lot of email maintenance and

They would like to do the following:
ò Share the Company Address Book & Contact Manager
ò Use Public Folders / File Sharing
ò Make available Company Calendar for Group Scheduling Task Management
ò Synchronize OUTLOOK on all laptop users with the server mailbox
I am not sure if the above wish list can be facilitated with the current scenario.

IÆve not heard of these ISPÆs permitting these requests,

ò What best email practice would be most beneficial and cost effective for this scenario?
ò Considering the number of users, could the request be met with the one server?
ò I looked at a few exchange server outsourcing groups, but having company data residing offsite is a concern to upper management and theyÆd like a solution with current equipment , since they have already invested in the onsite hardware.

Any advice would be greatly appreciated.

Hi,

I would recommend that you stopped forwarding the emails to the external POP3 accounts and just used the Exchange server already in place. One server should be able to cope easily and with Outlook 2003 configured in cache mode the line speed should be of no concern.

Thank you Leif, I have begun to document the current system configuration in Visio and will take your suggestion to the current Network Admin. He agrees that it would best serve the needs of the users to move all users to Exchange Server with OUTLOOK 2003 client. This would facilitate the users wish list.

Would a second server be advisable? I am thinking that if that server were to go down, all email ceases for this company's US based group. And are these T1 and DSL lines adequate enough for this number of users? I would think so. But any further suggestions would be helpful.
