Hi we try to use public forums as a central mailing list subscribtion. Basically an admin sets up a public folder which THEN subscribes to a mailing list. Advantage: it is in one central place. so some new dude wantsing to research in a developer mailing list does not have to go to the list public archives but can just search in the public folder. It also reduces traffic for certain lists which 20+ people are subscribed to (and which run 300+ emails a day). My problem is the posting part. How can I most easily allow posting by everyone? Right now emails are sent from the list to the folder (yes), but you can not answer to the list. How would you guru types solve this?

Under 'Permissions' tab --> 'client permission' you need to set 'anonymous' and 'default' 'create items', thats it. Assuming that this folder is mail enabled, you can now receive external messages. If you want users to be able to reply to certain posts, then you need to go to 'Permissions' tab --> 'Directory rights' --> add the respective users and only select 'send as' Hopefully this will give you the results that you are looking for.

It looks too complicated for me. See, it means that whenever you makje a post you have to: * Send it to the email of the mailing list and * Make sure you properly fill out the "send as" field, to send it FROM the public folder. This is hardly convenient. Is there any script around that handles auto-posting of replies/posts to a mailing list? I can somehow envision that latest with some server rules this could be handled a lot more user friendly. What I would love to see is that if I just "answer" on a topic, I want it answered correctly (for the mailing list).

Thona, Sorry Thona, I think that we are getting a little mixed up in what is needed. From what I read is that you want a public folder where messages can be sent to by everyone, right? Second, you want to be able to reply from that PF to the using the e-mail address of the PF? Let me know if this is correct.

Sorry Thona, I think that we are getting a little mixed up in what is needed. No, we are not. I want a public folder that serves as endpoint for a mailing list, so that people in the company JUST have to go there to read the mailing list. At the same time it would be nice if this would not invove those users going through complicated hoops to PARTICIPATE in the mailing list. That simple. Basically, if I go to the mailing list folder and see a post I want to answer to, I do not want to even KNOW which email address I have to asnswer FROM. I want to be able to just press "reply" and that is it. Or, if I want to open a new topic on this mailing list, I just want to make a post to the public folder. The trick about being NICE to use for end users is NOT to dump them thousands of implementation details. If I go the "allowed to post as folder" way, then the next thing I know I am going to get is complaints from people who are simply not used to set up their "send email as" information, and frankly, if you participate in a hefty discussion on a mailing list with 20 posts a day, then this is also a pain to use. Basically what I try to do is to make a public folder an enpoint for a mailing list. INCLUDING posting functionality. I a way that makes logical sense to end users and is easy to use FOR THEM. And having to send as folder is NOT easy to use. This WILL get forgotten. Often.

Dear euro neighbor, 'send as' = permission setting located in your PF. This is necessary for people to be able to send messages from the account. THanks for pointing out my mistake. And totally ignoring that this makes NO DIFFERENCE. See, the poroblem that Ipointed out is that END USERS will FAIL to fiill out the "send as" field. That simple. If Ithey want to POST to the mailing list, they have to send AS the public folder TO a specific email address. Result? Support nightmare. That simple.

Not having the 'send as' permission set will give the user something like 'you do not have the proper permissions to send this message'. I manage about 6000+ public folders in two orgs.

Still hve to ahve people send AS the folder sucks. Is there any way to auatomate this? I would think that a mechanism.... ...that sends any post (that is new, i.e. not coming in through smtp) that is made to a folder to a defined (external) email address could be used to actually autoamte the submission of new posts to the mailing list. Just not sure how to set this up through rules.

You can automate within PF, but this has it's limitations. You can create rules or have the PF moderated. Both can be done from Outlook. I'm not going to go into detail, but you can have alot of the message handling performed with this functionality. Go to the properties of the respective public folder, be sure that you have 'owner' privileges, and go to the 'administration' tab. Play with it and see what can come up with.
