I have a very basic question - We have just started with new emails etc at work. The emails are web-based and we have installed Outlook (Office Professional).

The obvious problem is that myself and other users need to access emails at the same times, but we are unable to see who has read or dealt with what - the emails / outlook isn't synchronised.

At present I am now using outlook and my colleague is using the webbased server - it works ok but isn't ideal.

My boss has asked me to look into what we need to synchronise the whole system - at present three machines.

I have researched a little bit and think we need the exchange server. Can anyone confirm please that this is what we may require and how it works - a lot of our information is private etc and needs to be stored securely. Also if anyone can provide costs (we are UK based) I would be grateful.

Look at small business 2008, it has exchange 2007 in it, which is easier than 2010. It will be cheaper to do that. You do not need anything extra apart from the hardware to purchase the server. Use an external drive or 2 to backup to.
