Hi Guys,

One of our users created another calendar under her mailbox.  Of course this is not the default calendar and is not picked up when trying to view her calendar.  When I try to view her calendar, I get her default one which she doesnt want shared.  Anyone know how to make the other one default so that it gets picked up or maybe get a prompt of which calendar to view?  Thanks.

You can't make another calendar default and you cannot prompt for a calendar.
If there is an additional calendar that you want to view then you have to set the permissions.

You will then need to grant permissions on the folder structure to allow access, before opening the folder in Outlook.

Thanks alot Simon.  I had to work around the issue by moving the non-default calendar from the user's mailbox to a public folder instead of keeping the calendar.  I figure since I still have Outlook 2003 and Entourage users, I am forced to keep the public folder around anyway.  Also, this makes it less likely for something shared to be removed if someone leaves the company.

For example, user John Smith is the head of the Marketing Department:
  1. I created a public folder named Marketing Department.
  2. I modified the permissions to the Marketing Department folder by assigning everyone that needed access the Folder Visible permission.  I assigned Owner to John Smith for the time being.
  3. I opened John Smith's mailbox.  Of course I had full mailbox permission on his mailbox to perform steps 3 to 5.
  4. I right-clicked on the shared calendar and chose to copy it.
  5. While still in John Smith's mailbox.  I navigated to the Marketing Department folder and pasted it in.  This will create a calendar item under that Marketing Department folder.
  6. I exited John Smith's mailbox. 
  7. I set the permissioning on the Marketing Department shared calendar to Author for most of the users so that they can only modified what they create, and set Editor for John Smith since he should be approving the vacation days, adding important dates, and such.  He will be able to modify everyone's calendar entries.
  8. I verified access with the users and then I modified John Smith's access to the Marketing Department folder to Folder Visible just like the rest to prevent any new items to be created within that folder.
  9. I then removed the shared calendar under John Smith's mailbox.

Note:  Permissions that were required:  Full Mailbox permissions on John Smith.  Public Folder Administrator to create the Marketing Department folder.

I'm gonna definitely remember that link you gave Simon.  I didnt know that you could provide access to subfolders within a mailbox without giving access to other subfolders.  After writing out the steps I took, I shoulda made the connection.  Thanks again.
