In my old system where I used Exchange 2000 running on Outlook 2000, once an email hit the Exchange server, I would get it in outlook that very second.

Now with Outlook 2003, it only retreives the email when it's time to connect to the server or when I hit send/receive.

How do you make Outlook 2003 sync with Exchange 2003 so as soon as the server sees it, my users will see it?

There should be no difference. What's your AD & DC/GC configuration and your IP schema & AD Sites?

Are you using Outlook in Cached Mode? - this will create a slight delay.

Andy,

How do I check to see if I'm using Outlook in Cache mode? If I am, I want to turn this off.

Hiya, from the MAIL control panel navigate to your Microsoft Exchange Server entry - under the Exchange Server name there is a tick box entitled "Use Cached Exchange Mode" uncheck this.

we're not using cached mode...believe me, i'd love for it to be that simple :-)

what are some other areas to check? i have 4 windows 2003 sp1 dc's, 2 of which are global catalog servers.

everyone is 100/mb or better w/ all the servers connected via 1gb vlan.

exchange server has all the right memory switches according ms and i've run the best practices analyzer (2.1) and it says i'm clean.

i have approx 350 mail accounts on a clustered server (active/passive) w/ 4gb ram and 1tb storage divided up amongst 3 storage groups and 5 mailbox stores per storage groups

people report that the outlook tray icon reports misc disconnects throughout the day--of course we can just turn those warnings off, but i'd like to know what's going on.

any ideas?

I have/had a similiar problem. After an upgrade from 5.5 to 2003, new mail notifications for some people were not coming through. Hitting send/receive or even clicking off the inbox and onto another folder would have mail come through.

Basically, when new mail comes, Exchange sends a UDP packet to your Outlook, that packet is not getting there or is being ignored. If you are running XP, see if you have the firewall on, it might be blocking the packets.

I never successfully fixed the problem here since we are not running XP yet. We did some work on the network side and that did clean up some of the problem.

Thanks Jcayer, this resolved my issue, and makes perfect sense.  The next step to to determine which UDP port the packet is destined to so that I can add an exception to the client firewalls.
