Why isn't mail delivered to outlook instantly? Up to 2 minutes delay...

Earlier the mail was delivered to outlook client instantly when recieved on server, without the need of pressing "Send/recieve".

Now it stays on server for up to 2 minutes before Outlook downloads it automaticly.

- Turning firewall off doesn't help.
- When manually clicking "Send/recieve" mail is downloaded instantly
- When not using "cached mode" it's downloaded instantly.

What can i do to get the mail delivered instantly? And still use cached mode?

This is by design when using cached mode but you can adjust the synchronization timer values if you like, for steps see:

But earlier it worked fine, and i did not use cached mode? (almost 100% sure i didn't)

When using non-cached mode it takes ages and lots of resources to open folders with many messages - so i can't have been using non-cached mode earlier.

I tried to create the registry keys you linked to, but they had no effect [Frown]

What if you create a new MAPI profile with cached mode enabled for a new user who haven't logged onto to his/her mailbox before, do you see the same issue here?

I just tried to create a new user, with a new mailbox, but i experience the same problem here:

It takes up to 2-3 minutes before mail arriving at server, is downloaded automaticly to Outlook. Sometimes it arrives faster, but i suspect that there is a timer going on, e.g. checking for new mail every 3 minutes.

When using "Send/Recieve" button, mail is always downloaded - even thought i click it the second after mail arrives at server.

I remember the first time i set up an exchange server, i was so impressed about the speed of delivery. I sent myself a mail from a Web-based mail service, and in less than a second from i clicked "send", the notification appeared in Outlook...

How are you're experiences? How long time does it take if you send a mail to yourself from e.g. hotmail, until Outlook shows the notification?

Hey,

Can you try one small thing...

Open outlook/tools/options/other/advanced options/add-in manager abd check if you have any addin that may be related to your antivirus or other softwares excluding default outlook addins?

If you find any uncheck them and restart outlook. Let me know if this helps..

No the computers are not running any anti-virus/spam software, so theres only default addins listed there... :(

I am sure since your clisnts are not running antivitus you must be running it on th exchange box....

Tell me what AV you have on the exchange box and wait from my reply.

No, i'm not running any anti-virus/spam/firewall. Only third party software is MailSecurity - which effectively blocks all mail with extensions like .exe .scr .zip .rar etc. on the server side. I thought that might be the reason the mail was delayed, but it's not cause it processes the mail immidiately (i can tell by looking at it's "monitoring-application") - and also - mail is delivered immidiately if we click send/recieve.

Also, i'm almost sure that MailSecurity was running back in the old times when mail was delivered to outlook instantly.

Btw: This is a testing-environment, which is the reason why no AV/firewall is being used. Only "competent" users (that is able to detect viruses easily).

Locate keys like "ENABLE", "BACKGROUNDSCANNING" and "PROACTIVE SCANNING" set the value to "0" from "1" and dismount and remount the mailbox store.

I can't find any of these keys. Inside HKEY_LOCAL_MACHINE\SYSTEM\CurrentControlSet\Services\MSExchangeIS - there's no "Virus scan", and no keys anywere that says anything about backgroundscanning/proactive scanning... :(

But can you confirm that mail arriving at server is supposed to be delievered to outlook instantly? (or withing a few seconds)?

Guess now i need to suspect the database!!!! get the logging on all IS parameters to maximum and look out for errors and warnings.

also run the Exchange best practice analyzer tool and look for critical and full issue list.

Do you get the messages in the inbox when you click on another folder? For example clicking on sent items and then clicking on the inbox - will that then show the mails as delivered?

No... :(
It works exactly like i have added a POP account, and set it to check automaticly every 2 minutes. The only difference is that the send/recieve dialog is not shown.
If i have to clients of Outlook connected at the same account, they will usually get the message independent of each other. E.g it's first downloaded to one of the clients, than the other client gets it after 30 seconds or something like that. Completely random. Sometimes they download it at the same time (+/- a scond or two).

Mail i send is delivered instantly

Xguru: I ran the analyzer, and it didn't find any problems.

But can any of you confirm that that mail arriving at server is supposed to be delievered to outlook instantly? (or withing a few seconds)?

I have the same problem. I have a Blackberry that gets the messages immediately, while Outlook takes a minute or so...

Same here!  Blackberry sees the message right away takes 10-20 seconds longer for Outlook to "see" the message.  We're using Outlook in cached mode (though).

I just upgraded my PDA to the newest version of Windows Mobile 5, which supports Push email.

My PDA now gets the mail before Outlook (most of the time). This has a major disadvantage - because SPAM is delivered to my PDA's inbox, because Outlook has not downloaded the message and moved it to the junk mail folder before my PDA downloads it.

So i'm getting really frustrated now... Are there really no one who has any idea what can cause Outlook to have these delays?

I KnW its really irritating...

Lets take a final step to confirm this is not due to 3rd party softwares or network issues.

If you are using exchange Enterprise, lets try and create a new mailbox store, create new mailbox and check that mailbox.

Also try and check message tracking if it shows the delivery is done tothe store within seconds after the message is processed and what is the overall time consumed.

I have now created a new mailstore and a new user, with a new mailbox in the new mailstore :P

Unfortunately, that did not help. A test mail took 38 seconds to show up in outlook, after it had been recieved and processed by the server. A delivery notification was sent instantly when the mail arrived at the server.

In other word: The sender got message that the mail was delivered to me, before i had the mail in outlook.

Hi,

I may be missing the point, in which case I apologise but I would like to reemphasise:

  • When using cached mode it will take a minute or two before the email arrives in your mailbox since Outlook will only poll the exchange server periodically. Sometimes an email will appear very quickly - it might just be that it was sent immediately before the client decided to poll the server.
  • When not using cached mode your emails will appear as soon as they arrive since you are directly connected to the exchange server.


I would recommend creating a profile which isn't cached and test that. If possible use the same account on two different machines and compare non cached to cached. If the message doesn't appear immediately when you are not in cached mode then you might have something to worry about but I really don't think this is a fault.
