Hi there,

I have asked this question before and got answer but still my problem is there.

My problem is that when our users deletes their emails from inbox or sent items then it should also delete from server but it dont seems so because I am continuesly observing space on server, it is continously getting down. Only 600mb remaining on server. I know I can change location of databases and log files but I want to know that why messages are not been deleted. I have also checked under deletetion settings in exchange. It is set for zero days.

Any help please ?

I am haveing the same problem in exchange 5.5, I even moved the database to a different drive and when i did it got 1 GB larger. I am currently trying some 3rd party software that is suspost to defrag the database and free up 20 to 30% after it is optimized

Hi Dennis,

Please solve my problem, I am new to exchange. The problem is that exchange dont delete messages permanantly which has been deleted by users.

I have been through Deletion Settings under exchange and there I found three options, one of the options was that we can keep deleted messages for number of days, In my case it is for zero days.

I want to know that what does zero mean? whether it means that your deleted message will be deleted right a way? or this is a default value and we have to set number of days, say 1,2,3,7 etc?. One of my colleague told me that this is a default value and it does not mean that exchange will delete messages right a way but we have to specify number of days greater than zero. Is this correct?

normal practice is to set the deleted items retention to 7 days, then the users have a chance to recover their deleted mails, and after the seven days the mail is deleted,about the database file size you can do an offline defragmentation because Online defragmentation does not reduce the size of the databases. Deleted objects are reordered and free space in the database files is marked as available. This is usually sufficient, but it may be desirable to shrink the database size to recover free disk space, for instance, if you have moved a large number of mailboxes away from a particular server. During its online defragmentation cycles, the Information Store will log an event in the application event log (Event ID 1221), which indicates the amount of available free database space. To reduce the physical size of the database files, you need to use the database compaction tool (ESEUTIL.EXE). ESEUTIL.EXE is a very powerful low-level database utility that allows you to perform database consistency checks, defragmentation, and failure correction at the level of the ESE. If a store is mounted while you try to use ESEUTIL.EXE to compact its databases, the error code -1032 (JET_errFileAccessDenied) will be returned. ESEUTIL.EXE is a command-line utility that can be found in the \Program Files\Exchsrvr\Bin directory. For a complete list of command-line switches, type eseutil, and press Enter. Detailed information is also provided in a file called ESEUTIL.RTF, which can be found in the \Support\Utils directory on the Exchange 2000 Server CD. Do not forget to perform a full backup before compacting databases offline, just to be prepared in case ESEUTIL.EXE acts differently than expected.

Hi Dennis,

Many thanks for your detailed reply. I have two more qurries:

1) offline defragmentation means I have to stop exchange services from services?

2) Is there any Microsoft's knowledge base article available on offline defragmentation? if yes then can I have the link please.

Sorry Dennis, I am asking very minor questions but I have no options because I am new to exchange and dont want to do something wrong.

Thanks Dennis,

I have been through the article you mentioned and there I found one note that "Defragmenting a database requires free disk space equal to 110 percent of the size of the database that you want to process" BUT I have only 550mb on server running exchange 2000. Now in this senario, what you suggest how I should manage space issue? One idea is to move database to other hard disk (I have a HD of about 36GB attached with the server) but I would like to have your comments please.

yes you could move the database to another disk
and do the defragmention, but be sure to search the knowledge base for any issues there could be, and if you have a test server try to test the process there.

Going back to the original post; you say users delete mails from their inbox and sent items. Silly I know, but they do delete deleted items too don't they ? I had one customer who free'd up loads of space by getting 55 users to empty their deleted items folder.

Check your MDBDATA folder. Have you done any backups to get rid of the .log files? Do not manually delete if you have some in the MDBDATA folder. You need to do a backup with at least NTBackup to get rid of them. If you do have hundreds of these 5MB files, after you get rid of them your problems will be solved.

Thanks everybody for your help!

Today I have moved databases and log files to other hard disk successfully and now I have enough space on my root drive (c:\). So far I am facing no problem but one message I have received when I opened my mailbox on my computer. It says that "Unable to open busy/used data. Network connections are preventing connection to microsoft exchange server" (may be wording is little bit different, i could not write it down when it appear) and I just clicked on OK. I am not sure about this message. Any comments/help would be appreciated. Thanks
