We are using Exchange 2000 as our  message store for voicemail.  For some reason we are missing a whole group of users from Active Directory, but the mailboxes still remain in Exchange.  We tried to remove a couple of mailboxes we know are not being used through our voicemail system, so that no reference remains in the voicemail system, but the actual mailbox was not removed.  We ran the Cleanup Agent, but it did not do anything.  The mailboxes are not marked or anything.  We need to figure out how we can get rid of these mailboxes.

Okay, pretending it's really not all as complex and ugly like it sounds. If I had a mailbox that I really needed to get rid of and the cleanup agent didn't get it, then I'd follow these steps:

  • Open Exchange system manager.
  • Go to "Administrative Groups" --> Your Domain --> "Servers" --> Your server (or the server that the mailbox in question resides on if you have more than one Exchange server) --> "First Storage group" (or the storage group that contains our mailbox) --> "Private Information Store" (or the store that contains.. you get the idea) --> Mailboxes.
  • Find the mailbox in the right hand window.
  • Click it once to highlight it.
  • Right click to get the pop-up menu.
  • Choose "purge" and it's gone.

I wish it were that easy.  When I reight click on the mailbox, "Purge" is greyed out.  As a matter of fact, when I right click any mailbox, "Purge" is greyed out.  I have read elsewhere that this is normal.  From what I understand, the only way to enable the  "Purge" functionality is to delete the user's mailbox through Active Directory.

Any more suggestions?

Okay, "try, try again".

I'm not in front of my Exchange server so I can't tell you the steps but what I'm thinking now is to try to find where those "missing" accounts might have gotten to. If you go back to that same screen where it shows the mailboxes on the right hand side, it seems to me if you right click "mailboxes" on the left window, you get a pop-up menu and somewhere in that menu you can tell it what columns you want. Add everything. One of the columns you add will have the name of the account that's associated to the mailbox. I think maybe it shows you where the account resides too. Like \\domain\ou\account.

You might also try an advanced 'find'. Open Active Directory Users & Computers and start as high up in the tree as you can. Make sure you have the "advanced" view set. The third tab of the 'find' function allows you to pick specific attributes in the user account. So, for instance, I think you can enter the mailbox alias or email address. If it finds the account for that mailbox, double click it. Look for a tab called "Object". That will tell you were the account is. Maybe all of the "missing" accounts were accidently moved to the same place?

Is the voice mail product Cisco Unity by any chance?
If so post back I have had some experience of this product and its interaction with Exchange.
