Check to see if the emails are being sent to a distribution list (which includes the user) and specifically to the user. This will send the message to the user twice.

Also, check to see if the user has any rules set in outlook.

Rajesh,

Track the mail and see the user is actually getting two mails, that you can see when you double click the mail log. This may possible when a user also in a Distribution list.

If all the above shows there is no cause then check the user's Outlook rules.

I've also seen this happen to users who also use ActiveSync on an Exchange 2003 Server that did not have SP2.  Installing SP2 resolved my issue.

Increase the time out settings in outlook from 30 to 60.

Sometimes email might leave the mailbox and since the timeout goes more than 30 sec, the outlook tries to send email again. I have seen this situation when exchange servers are working pretty hard.

I have a user experiencing the same problem.  Sometimes she get's a duplicate message.  It is difficult to troubleshoot because it is not always from the same sender.  Nor does it happen every time.  Here's what we have tried to do to fix it so far, but to no avail.

1.  Disabled all her rules.

2.  Created a new Outlook profile for her.

3.  Moved her mailbox to another Exchange server to see if it would find anything that was corrupt and choke on the move, but it moved fine and she still has a problem.

4.  I have done message tracking on her and it shows the message only being sent once.

What else can we do?

I heard about "Duplicate Email Remover", which is a powerful add-on in Microsoft outlook 2000, 03, 07, XP. It finds and removes all the duplicate messages or emails in the message box or the inbox. And is quite easy to use.

First check whether the outlook has been set by the users with any rule. Then check whether the email is sent to the distribution list.

If outlook rules is the reason then disable it and a new outlook profile.

Check the following:
1. No rules should be there for inbox
2. check whether more than one outlook instance (outlook.exe) is running.

I would also go with Flowcom1 as there must be some rules setting problem. Check out the rules and see if there is any wrong rule set which is satisfying the above condition.
