Hi,
I'm a sys admin of a Microsoft Hosted Messaging and Collaboration 3.5 platform, and i have a lot of question regarding the Exchange-outlook data update. I'm wondering how and when outlook update Exchange mailbox datas when new data are added in outlook, like a new appointment, or new contact or an entire .pst import from an old profile (in case of a migration). As some customer migrate from an internal Exchange solution to a hosted environment, depending of the wan spreed link, some of them are experiencing performance issues with the platform. Could anyone tell me how the Outlook-Exchange update process works, and/or where i could find information regarding this?

When Outlook is running in cache mode, there are three reasons it checks the server for new information.

1.  You force it to (selecting Send/Receive or send a message)
2.  It has a schedule set (Tools-->Options-->MailSetup-->Send/Receive)
3.  The server tells it there is a new message

#3 is typically the mystery.  Exchange sends out a broadcast message on a random high-port (UDP greater than 1023) when it receives a new entry.  If Outlook doesn't hear the message for any reason, it doesn't know to initiate the query.

Typical reasons for not hearing the message:
* Outlook isn't running
* UDP ports > 1023 are being blocked
* Network connectivity issues (since this a UDP transmission and not TCP, there is no acknowledgement required)
