Hi,

I've been using a resource room calendar for our conference rooms and had a couple questions regarding how it functions.

1.  Are the resource rooms supposed to send confirmation emails to meeting organizers once it has accepted a meeting?  I can't seem to find anything definitive on this, but it seems it is supposed to.  The odd thing being, mine does not send any confirmation/deny emails when a meeting is booked to it.

2.  The resource room calender does not delete canceled meetings, but leaves it on its calendar with, "Canceled."  The thing is, these still cause conflicts if someone then tries to schedule a new meeting in that same time slot.  Yes I can delete canceled meetings manually, but do I have to?

Any information on this would be most helpful and appreciated.

They don't automatically accept.   Its PowerShell Time:
Set-ResourceConfig -ResourcePropertySchema ("Room/TV", "Room/VCR", "Equipment/Auto")
Set-MailboxCalendarSettings <Identity> -AutomateProcessing:AutoAccept

Thanks Mark, I've actually already run that second command to set the automate processing and can verify that it's set to AutoAccept... what is that first command you've got listed there for?

That first one is a neat little feature for setting information about what the room has got in it. Do a search in the online help for that verb, it's pretty cool what you can input to help the users out. Of course, if you're in one building and everyone knows what's in the room it's not so useful but still.....


So, are you saying that you have already done that auto processing command and it's still not working?

Also just a clarification on my first post, the canceled meetings which remain on the calendar do NOT conflict with new ones created in the time slot - but they still remain on the calendar, which is kind of annoying.  I see potential for some clutter there.  I'm also really puzzled as to why it doesn't seem to want to send the confirmation/deny emails still, since it is clearly set up to auto accept.

Interesting. What's the deal with the F/B information in Outlook when you create the appointment?

Free busy info. seems to be fine, the meetings appear on both calendars - the room will deny a meeting request if there is a conflict.  The only thing not working correctly is the fact that it doesn't seem to want to send confirmation emails - and won't clear canceled meetings automatically.

Got me. I have problems when I move resource mailboxes if I clear out a store but a fresh one works fine. Tried a brand new resource mailbox for test purposes?

I'm going to give that a shot next, thanks for the input Mark.

Update:  Creating a new room mailbox and enabling it to autoaccept seems to work just fine.  I think most likely I created this problem inadvertantly because I had users complaining they couldn't see the calendar and book to it directly.  I ended up enabling the room accounts and logging into them to modify the permissions so folks could see them directly.  I suppose it'll have to come down to me creating new room mailboxes and educating them on simply using FB information to view whether they're available.

I believe your are confusing Resource Booking with the Auto Accept Agent.  Using the AAA will generate emails when conference rooms are reserved and will remove meetings when users cancels meetings.

We had the same issue here until we switched to the AAA.  Everything works much better.

Actually Resource Booking also seems to send confirmation emails, I do not have AAA installed (and wasn't installed when we were on EX2K3).  I believe I somehow messed something up when I enabled the room mailbox user accounts and modified the permissions to allow our admin. assistants to view them as shared calendars.  I just created a new resource room and tested, and it's working like a champ.  Sends confirmation emails and deny emails if there is a conflict.

Did you mean to post into a 2007 group?

LOL!!  We all have them Mark.  It does sound like though from previous post that Loculi is using Exchange 2007.  I assumed it was 2003

Hello

Just to let you know that I was experiencing this too but only on certain Room Resources, I found the fix below;

In Outlook go to:  "Tools" "Options" "Calendar Options..." "Resource Scheduling..." and then check off all the boxes "Automatically accept meeting request and process cancellations" and "Automatically decline conflicting meeting requests."

Once you've done that it all works fine.
