We have 10 users on our network, running exchange 2003 using a combo of Outlook 2003/2007.


One User is having problems with Sent Items not saving to the server.


Please note this has nothing to do with view settings, filters, archiving, internal clock, or "message saving" options in the options menus. I have eliminated these possibilities already.


I have already triple checked the settings in Outlook, reset his profile using switches in the command line, I even created a new profile on his desktop with all default settings.


Somehow sent emails are sporadically disappearing (keyword: sporadic).. the last week of Jan his sent items are there, but all the first half of Feb are missing... the middle of Feb some emails are there.. and now in the beginning of March none of his recent emails are saved.


Not sure if this is an Exchange problem or an Outlook problem anymore... I thought it may have been Outlook since it was only the one user... But now i think there might be something wrong with his user account on the domain itself... since he is unable to get those emails back on any workstation, his IPhone, or through OWA... It seems they just dont exist anywhere.


There are no patterns either... some of them were replies, some were forwards, some had attachments, some didnt...


My last ditch effort will be reinstalling Outlook to fix the problem.. even though I know it will not get those missing email back.


Quick Edit: only sent items are being effected.


i'm totally in the dark on this one, I will appreciate any help you can give.

Can you check to see if the missing messages are visible in Outlook Web Access please.

If they are, then there is a problem with the local client.

If not, then are they available in the Deelted Items / Recover Deleted Items?

Could be a mailstore problem or an Outlook problem.

Any mobile phones / POP3 accounts setup anywhere for this account?

They do not come up in OWA or his Iphone.

It seems that those sent mails are not being stored at all since he is not able to retrieve them from any device or workstation on our network...

Looking in his Sent folder as it is right now... I can see that everything before February is accounted for... After the start of Feb,  I can start to see significant gaps in the dates where some sent items are saved... and some ore not... yet I know this user is constantly sending email every day.

A possibly important detail I forgot to add is this... The date where sent items start disappearing coincides with the date when we upgraded his outlook to 2007.

Somehow this could be the problem.. Though I am not sure if a reinstall will fix it or not at this point, since I already tried it once.

As you have Outlook 2007 - have you tried clicking on Help> Office Diagnostics (from within Outlook)?

Are the Sent Items being saved anywhere other than the Sent Items folder?

It could be that replies are being saved with the original message and not the sent items.

To test, create a new email to a new recipient. Send the email. Does the email appear in the Sent Items folder.

Do the same, but reply to an email in another sub-folder. Does the Sent item appear in the Sent Items folder or the Sub-Folder?

It figures, that whenever I do a test, it works fine... <sigh>

I have sent a bunch of test emails and test replies to a couple different external email accounts, they were all saved to the sent folder correctly..

However, as I have been trying to solve this for almost 3 weeks now, he is still reporting having missing mail at random intervals, most recently was yesterday.

Office Diagnostics detected a slew of MS updates need to be done.. apparently he has been opting out of the updates quite a while ago so he wouldn't be interrupted during work.

Maybe there will be a fix somewhere in those updates, but I will have to wait and see.

Can you think of another thing to try while I wait?

As with all things Microsoft - update until the cupboard is bare, then see if the problem persists.

Sods law about it working now - I have that effect on my customers too

I would concentrate on the updates first, do some more testing and then report back if it is still not working.

Update on this Issue.

MS Updates did not solve this issue.

My attention turns to IPhone as a likely suspect.

I have read a bunch of bugs regarding behavior between IPhone and Exchange (Crapple strikes again!), such as deleting email from IPhone tends to clear out the entire deleted folder in exchange itself.. and other similar maladies.

This rung a bell with my client. He then told me that sent email from his IPhone was not showing up in his sent items in exchange.

To keep track of his contacts he would move his IPhone sent items to his IPhone inbox, which would then show up in his exchange account "properly".

I suspect there is something screwing going on here.

Remember I said my test emails from the other day worked properly and they were in the sent items folder? Well now they are GONE from the sent folder.. and have mysteriously MOVED to the inbox folder.

My conclusion is that when he was moving a sent item to his inbox on his IPhone... The Iphone decided to take ALL the sent items and move them to the inbox within exchange.

Of course there are some emails that are clearly gone forever... its possible that at some point he deleted an email from his sent folder and it cleared out the whole thing in exchange.. you never know.

I have told the client to not move or delete anything using his iphone for now... we will see if this resolves the issue.

I do not have an Iphone, are you aware of any setting that may be causing something like this?
